Position Overview:
We are looking for a proactive and organized Facility & Maintenance Executive to manage day-to-day facility operations, maintenance activities, vendor coordination, and workplace safety across our office locations. The ideal candidate will ensure that all facilities, utilities, equipment, and workplace services are maintained efficiently and in accordance with company and compliance requirements.
Responsibilities:
- Coordinate HVAC system maintenance, servicing, troubleshooting, and repairs.
- Manage pest control services across all office locations and ensure timely preventive treatments.
- Coordinate and resolve electricity, electrical maintenance, and related utility issues.
- Manage building maintenance, facility repairs, and preventive maintenance activities.
- Oversee janitorial, housekeeping, and general workplace cleanliness services.
- Monitor and maintain thermostat systems to ensure appropriate office temperature and comfort.
- Manage lockbox installation, access, maintenance, and related records.
- Coordinate plumbing repairs, maintenance, and emergency plumbing requirements.
- Manage lease agreements, renewals, documentation, and coordination with landlords/property management.
- Obtain, compare, and evaluate quotations from vendors for facility-related services and repairs.
- Coordinate with vendors and service providers to ensure timely completion of maintenance work.
- Ensure fire extinguishers are properly installed, inspected, serviced, and maintained in accordance with applicable compliance requirements.
- Coordinate general facility operations and preventive maintenance to ensure a safe, secure, and efficient workplace.
- Address facility-related issues involving restrooms, furniture, pest control, utilities, and other office infrastructure.
- Oversee access control systems, including office doors, locks, and related security/access requirements.
- Monitor refrigerators and other facility equipment where applicable and coordinate servicing or repairs as required.
- Maintain records of maintenance activities, vendor services, quotations, repairs, inspections, and facility-related documentation.
- Follow up on pending maintenance issues and ensure timely resolution with minimal disruption to business operations.
Qualifications:
- Bachelor’s degree in Facility Management, Administration, Engineering, or a related discipline.
- Minimum 5–6 years of experience in facility management, administration, maintenance, or a similar role.
- Hands-on experience in coordinating HVAC, electrical, plumbing, pest control, housekeeping, and general building maintenance.
- Experience in vendor management and obtaining/evaluating service quotations.
- Good knowledge of preventive maintenance and workplace safety requirements.
- Strong organizational and coordination skills.
- Good verbal and written communication skills.
- Ability to manage multiple facility-related issues and prioritize tasks effectively.
- Strong problem-solving and follow-up skills.
- Ability to work with vendors, landlords, service providers, and internal stakeholders.
